Invoice uploads

No Xero? Start from the files you already have.

Upload an export from your accounting software, a spreadsheet, PDFs or photos of your invoices. Duewick reads them, shows you what it found, and imports only what you confirm.

What you can upload

  • Spreadsheets and exports

CSV and Excel (.xlsx). Old Excel files (.xls) need saving as .xlsx or CSV first.
  • PDFs and photos

PDF, PNG, JPEG and WebP. Photos taken on an iPhone in HEIC format need exporting as JPEG or PNG, or a screenshot.

Up to 10 files at a time, 5 MB each and 15 MB in total; up to 5 of them can be PDFs or photos. The format is recognised from the file’s content, not from its name.

A spreadsheet needs, for each invoice, the customer, the amount still due and the due date. An invoice number, the invoice total, the currency and the customer’s email help, and are used when present.

You review it before it is imported

Nothing is imported until you press Continue, and importing contacts nobody.
  • Ready

Invoices with everything needed. They import as they are.
  • Needs your decision

For example the same invoice in two files with different amounts. It is shown to you, not resolved on its own.
  • Add what is missing

A missing due date, customer name or amount. Type it in and the invoice moves up to Ready.
  • Never imported

Receipts and remittance advice are not debts, and an invoice marked as paid is left out by default.

How PDFs and photos are read

  • An AI model reads what is printed on the document; the result is then checked by fixed rules — amounts, calendar dates and email addresses — and anything that fails is shown to you, not corrected silently.
  • An invoice proves it was issued, not that it is still unpaid. Invoices read from documents are marked “to confirm” until you say they are still outstanding — in one step for all of them.
  • It never invents an email address. Only an address printed on the document is used, after checking it is valid.
  • Text inside a document is treated as data. Instructions written in a file do not change what it does.

Keeping payments up to date

A file does not update itself when a customer pays. Before switching the agent on, you choose how it should know.
  • Check with me before each reminder

I ask you to confirm it is still unpaid — one tap — before anything goes out.
  • I will upload a fresh export

At least every 3 days. Anything older than that, I stop chasing until you do.

An invoice that reaches zero in a newer file without a payment that explains it is not counted as cash: you are asked to confirm what happened. Prefer balances that update on their own? Connect Xero instead.

Upload your invoices and see your plan

Connect Xero or upload your invoices. Duewick works out who owes what and shows you its plan. Nobody is contacted until you agree its limits and switch it on.
